Let's say your organization is facing a potential lawsuit involving one of your employees and the intellectual property of a third party. You'll have to lock down that person's mail until you can figure out exactly what's going on. First, we'll log into NetGovern as an eDiscovery admin. From the Case Management dashboard, click New Case. Give your case a name and description, something to set it apart from the other cases on the dashboard. Choose the appropriate case class. For this example, litigation. For case type, choose intellectual property. This case obviously involves the workplace. If you have an internal numbering system, enter the case number here. Now, let's select a location and the user you're putting on Legal Hold. We're going to put Charles on Legal Hold since he's the focus of our investigation. Next, we'll select case members. A member is someone who can view, search, comment, and tag within the cases assigned to them. I'm going to make Brenda a case member. As an admin, I can also assign full rights to her, meaning I can make her a case manager. You can remove a case member right away by selecting the box beside their name and clicking Remove. You can also enter the date you'd like to auto-revoke their access. You can do the same thing for reviewers. Reviewers are restricted to working within the search results you assign to them. On the Legal Hold tab, check Enable Legal Hold. This prevents any of Charles' data from being deleted, regardless of whatever deletion policy already exists. Here you can pick specific dates. However, we're going to select oldest to newest because it's the safest way to go. This option captures all data in the past and whatever is created in the future. NetGovern automatically checks to see if Charles is under Legal Hold in exchange, thereby preserving his live mail and ensuring none of it is deleted. In all cases, check existing archive policies to make sure that data you're placing on Legal Hold is archived. Lastly, you can create tags in the Tags tab to apply to search results. Think of a tag as a bookmark. There are default tags, but you might need new ones. Let's create one for Intellectual Property in case it turns up in our searches. You can edit these tabs at any time by returning to the Case Management dashboard. Now click Create and you're done. You're ready to start searching content under Legal Hold to improve your chances of winning a potential litigation.
