But yeah, if you have questions already, drop here in the Q&A session. And today we are here to talk about trust. So trust is a very important part of our business. Today, we are here to talk about trust, privacy, and all the settings that you can toggle for Fireflies to handle consent, privacy, and your data. So what are we gonna cover today? Well, the full life of a meeting, before the meeting, during the meeting, and after the meeting. What happens, what participants see, what it can control at various steps. We're gonna talk a little about the certification that Firefly has, where your data lives, how you can choose that, and what happens also to your data. So I'll keep checking the chat here, but as I mentioned, we have teammates here. Chen is here to help me out with all the questions, but keep dropping your questions in the question mark icon. It is here at the bottom, in the middle. I'll get them all by the end. So, but for those who are new to Fireflies, because we might not have not only customers here, just a refresher. Fireflies is the leading AI assistant that records, transcribes, and turns your meeting into action, not only a note taker anymore. So we've been expanding well beyond that. From note taker to assistant that works all across your meetings, your email, your Slack, CRM, so all the distributions, Notion, Google Docs. We just launched, right, Chen, some exciting improvements to Ask Fred. We're gonna post later in the community, so if you haven't yet, go to our update space in the community and turn on all the notifications for you to get all the latest releases. And you are along 20 million people that use Fireflies, over a million organizations, trusts, including 75% of Fortune 500, and the greatest number of all, over 7 billion minutes is being processed in Fireflies. So why that scale matters today? At that volume, trust is not just a feature, it is the product, our whole product is based on the trust, your privacy, and security. And this is all the sessions about, and we're gonna cover here together. So some of you might have seen this because it was together promoted with the event and the webinar and in our socials. Well, an independent analyst ranked Fireflies out of 100 AI companies on privacy, transparency, security, and public trust. Firefly came third of 500. So the highest ranking AI note taker in the study, and look what the study found across everyone else, all the companies. The average security score is 32. 62% don't clearly disclose whether they train on user data, and 65% don't disclose how long they keep it. So third place, it is an iPad and a great place to be. But the ranking is just one side. So for the next full session, I'm gonna show why everything that you're seeing here on screen matters and how that works. You can check Fireflies and all the rest and the details about the ranking as well. So all that said, you are in great hands and all your data is being secured and stored safely. So let's start with the steps first. So the meeting has many steps. So it is just not a checkbox, a signup. There is before the meeting, during the meeting and after the meeting. When the note taker join, who can see, who controls the note? Let's go step by step. So when the note taker should join and the calendar invites, we announce during the meeting and after who will get the transcription or not. So let's start with that first. Let me go through the admin settings and all the settings that you can manage in Firefly for that. Let me present back my screen. Let me present back my screen. So you should see my dashboard here and my recent and upcoming meetings. And you already see here your calendar settings and when it should auto-join or not. But let's go in the actual settings here because if you're an admin, you can set that for your whole team. So you can see here, auto-record meetings. If you're an admin, you can allow teammates to choose. You can record all calendar events that has a meeting link. So if there's an online meeting, it will auto-join. All that you host, all that is in your workspace users or not live. So this for internal meetings or meetings that you have teammates joining or only meetings that are not internal. So sales demos, interviews, or you can go fully manual only when you invite friend. And I will show you how you can do that as well. And you can choose to record meetings only with teammates. But let's say this is too broad, general. I wanna have more control on that. You can go to your recording rules. And here again, if you're an admin, you can allow teammates to choose and enable for all teammates. And we have some recording rules here. You can choose when the note taker will record meetings based on keywords. So if you're a host in sales calls, you can add demo or sales, whatever. And you identify all meetings that has those keywords and auto-join those meetings. And the same for domains or emails. You can add here. So whenever that email is in the participants, the note taker will automatically join that meeting and avoid all the rest. And you can say, okay, that's still not enough for my case. I have enterprise-grade security. I need granular permissions. You can not only choose when the note taker will join and record, but also the restriction rules. So when it should avoid and the same way. So if you have an all hands and you don't wanna require that, you can add here to the title. If you have any specific keywords for internal meetings, legal meetings, HR interviews, you can add all here or domains. If any of your customers don't want to record meetings and transcribe, you can add their domain here. It will avoid joining. So those are restriction rules. And those are above the joining. So if you have a restriction rule for the Acme company and you have a requirement to record all demos and you host a demo for Acme, you will not join the meeting because it is restricted based on your set rules. And then if you want manually, you can simply go here in capture and you can choose add to live meeting. You can name the meeting or just drop here in the meeting link. Or at any time you can open your event, your meeting schedule, and just invite Fred at fireflies.ai. It will make it for the note taker to automatically join that meeting and record. Or you're on the go on the fly. You're having a meeting, you forgot. You can still just invite. Doesn't need to be before the meeting. You can join the meeting and invite Fred or you can use our Chrome extension and start recording and also our desktop app. So at any time you can simply open the desktop app. Let me open here. If you're not familiar yet, this is our desktop app. There you go. And you can simply click take notes and start taking notes. And if you're not using our desktop app as well, the best it is our live assist. And you can see the transcription here. You can ask Fred about everything that's happening in the meeting. And you see our fireflies watermark in the camera. So others knows that this meeting is being recorded. Let me go back now to our slides. So what we just saw, the auto-join on your terms, you can turn it off, go manual or make it automatically or set rules to either auto-join or restrict some meetings. And what happens during the meeting? You can see here an example that when a meeting starts, this is on Google Meet. You see a notification from the Fireflies note taker and says, I joined a meeting. I'm here. If you want, it has some shortcuts. So just as I showed the live assist on desktop, you can also have that on chat. So you can just type slash FF for fireflies. As to summarize the meeting, as the main topics being discussed, catch me up so far. So can you summarize this meeting so far? And by the end, it will also notify the members when the meeting is ending with everything that was discussed. So a very short recap and the next steps and where to find that meeting. So you can see here, view real-time notes and transcriptions for the meeting in your own Fireflies app. And then just double check the questions here. I see red one, I read it thinking some. But as you saw, there's the before. And during the meeting. And we are also launching through the desktop app, the watermark in the camera. So everyone knows that meeting is being recorded because there are a lot of tools that records the meeting and don't say that it's being recorded. You wanna avoid that. As you saw in the ranking, we are focused on privacy and security. We want members to know that it's being recorded. You don't need the bot to join. You can use the desktop app and it will record the meeting. But you can notify the attendance that this is being recorded before with the notification. And let me show you where that notification lives. So let me show back here, my dashboard. And going back in settings, you're gonna see compliance notification. So you can see here, notify participants via email. It will notify all participants one hour before the meeting. And you can customize as well. This is the personal, and you can also set for your team, enable or allow them to choose. And you can also see here what I just showed, the mini chat notification that is doing the meeting. So you can also customize that for your own case. You can already add some useful shortcuts that we have. I didn't catch the guide link, but I will send in the recap, the guide that we have for all the shortcuts that you can run during the meeting. So I will post later the recap in the committee, in the upcoming meeting. So I will post later the recap in the committee, in the resource library, and you also get by email. So we saw before, during, how to set that. Let's talk a little bit now about after, what happens after a meeting. The share settings, the self remove access, and auto delete.

[00:18:45] Speaker 2: And again, if you have any questions about notifications, what happens during the meeting, feel free to keep dropping here in the Q and A. Now let's go back to recording and privacy. Also, you can choose to capture or not the video. There are some companies that choose to, demands to not require the video actually, so you can disable that. And you can auto delete meetings. So you see here, you can either allow teammates to choose, disable, or choose your regular and default duration on how long that meeting will get stored in your Fireflies. And then for privacy and access, so after the meeting happens, who can access that? So you can choose. You can let them, again, each teammates to choose, or you can say teammates and anyone with the link, only participants of that meeting and teammates, only participants in your team, and then only teammates or only participants or only you. If you set to only you, you can go later and choose to share the meeting. I will show you how, but this is the default. So if you're gonna automate some part of it, you don't wanna rely on only manually sharing, you can pick here the meeting privacy, you can pick here the meeting privacy and who can access the meeting later. And also for the public meeting access, I will show you how you can do that, but you can choose to disable that. So all your workspace and teammates won't be able to share publicly any meeting. And lastly, the recap. Not only who can access the meeting, but the recap, who will get this recap by email? And you have similar options here. You can allow each to choose, everyone in the meeting invite, so everyone that was invited to meeting, the participants, only the participants from your team, from the domain, or only yourself. As for sharing the meeting, you can go to your meetings, open a meeting and click to share here. So again, if you set a default, you can later go manually and choose to share that meeting or not and choose here the visibility for that as well. If an admin had disabled public sharing, you won't be able to public share that meeting as we just saw in the settings. So we saw how you can set the access and visibility and how to auto remove, but you can take one step further with the rules engine. So go to your team and go to rules here. And just a heads up, this is a feature just for the enterprise plan because we understand that companies that have the need for an enterprise, precisely level of security and granular permissions, we enable the rules engine that it will live above all the rest. So you can choose, let's say, as I mentioned before, the meeting title contains demo. I can choose to set the privacy to all teammates and participants. I can choose to auto delete after 30 days. And I can also auto share with the sales team and auto routes to the sales channel. So making it easier to set the access for the meeting after that happens. And you can choose N or R and you have all the filters here for participants. So let's say if you have someone in your legal team and whenever that person joins a meeting, you wanna set the privacy the most restricted possible. So you can just go to only owner and say whenever, you can set also for user groups. So if you have user groups, you can see it here. So let's say for HR. So whenever it's a meeting that has the HR team, only the owner will be able to see that meeting. So here you have granular permissions for the meeting access and meeting privacy as well. Going back here, so we just saw the, whoops. Let's go back here. The share settings, how to remove access manually and automated and how to auto delete the meetings. So now where your data lives. By default data lives in US cloud infrastructure, encrypted for teams with residency requirements. There is an EU storage option and the data is stored in EU but processed in the US. For stricter needs, you can set private storage on enterprise as well, gives you dedicated, isolated storage, including bring your own storage on AWS or Google Cloud Storage. So it's all your bucket, your keys, your intention and you can check everything that we are discussing here and what happens with your data, what gets processed, who get access, all in our trust center. I'll keep sharing this link here because it is the summary of everything that we are discussing here today. But assigned data sharing agreement supports for requirements and VA's cover the HIPAA workflows. So let me show you our trust center quickly, just an overview on everything you can expect to find here, our certifications, our resources for each. You can ask Fred anything about our trust, privacy, certifications, who is processing as well, your data, who owns, where it gets stored. And as I mentioned, you can also choose to have private storage. So toggle on and you choose where you wanna store that. And for teams with even higher needs for access to the workspace, we have SSO with skin. So that means that not only you can automate who gets access with SSO. So for every new user that has your email domain, you will get automatically added. You will get automatically added to your workspace. You can choose to do this or not by configuring here. I'm sorry, I'll get the guide here. And with skin, it means that not only they will join, but when they lose access, they will also lose access to your Firefly's workspace. So when you're setting up, not only you need to set up SSO, this will give access to everyone that has a new user on that domain. But with skin, everyone that also lose will also lose access to Firefly's automating, the provisioning of access to your Firefly's workspace. And now the part that most of your IT security teams care about. So as you've seen, privacy and security has always been one of your top priorities at Firefly's. We know how sensitive your data is, your meetings, customers, conversations. So everything from how your R team works to how features get built is privacy first and security first. So we are SOC2 type certified. Your data is encrypted in transit and at rest. There's no one access without your consent. Keep it ready with BAA on enterprise. So even the healthcare teams runs on Firefly's security. FERPA for education with assigned ESA. We just saw about SSO and granular permissions. You also have access to audit logs for your compliance team with zero day retention with all our vendors and GDPR compliant on every plan. As I mentioned, you can check our trust center here in... Oh, I'm not sharing. Sorry for that. I was going through this slide. Forgot to change the tabs. But yeah, everything that you're seeing on screen, you can check in our trust center here for further details. But again, if you have any question about any of these items, drop here in the question mark icon or in the chat. I'll check the chat also later. And one of the main thing, and because this was one of the biggest part of that ranking that we saw at the start. So Firefly's never trains AI on your meeting data. Your data is only yours. Not to improve our models, not for anyone else. Your meetings are your business, not ours, not anyone else. So be sure and safe that everything is, as I mentioned, built for privacy first. So on contrary of some other tools that do train in your data, this was one of the reasons that we got ranked as the top secure note taker, because we not only not do that, but we disclose that all the time. And once more, you can check that in our trust center on how that works as well. And I think we can get started with the Q&A. This was a broad overview on everything that you can enable for privacy and security and access. But the biggest part, it is your questions. So again, after we end here, go to our trust center, see everything that we just discussed. But let me start getting some of the questions. I see a red one already. Answer some, but I will make sure to see everyone got it as well. So what is the capability of Firefox to create custom auto-join options? For example, if we need Firefox to auto-join lock, to overlay all this together, only when I am the owner of the meeting and only when all participants in the meeting are from specific. So yeah, glad to have that question. I went through, but let's actually build that together. So let me go back to recording and privacy. And you want auto-join only when you are the owner. So if you're an admin, you can choose this by default for everyone, but if it's just for yourself, you can just go to personal recording and privacy and only meetings I host. So you change to that. And in the rules, you want only when all participants in the meeting are from specific. Yeah, so in the recording rules, you're gonna set everyone from acme.com and save that. Or you can also set restriction rules. So for any other domain that you have as customer, just avoid that. Hopefully that answers your questions, but if not, let me know in the chats. And how do you add Fireflies to a Microsoft Teams phone call, not a calendar event, a phone call? So I think Chen did reply that we don't support phone calls for now, but we do have some integrations. So if you're using some providers like Hello, you can use that for your phone calls. You can use that to get the data from the call, not the actual call that's happening, but if you use an app like that, you will get all the information from it and you can integrate that to Firefly easily as well. And just to double down, you can also integrate Microsoft Teams. Again, not for the actual phone call, but for the meetings that you host on Teams meetings, you can do integrate. Or if you're having also in-person meetings, you can use our mobile app to record those as well. Sorry, just let me get some water here. Okay. From Mavis, you are currently on the pro plan. What is the best practicing for off-boarding an employee and transferring and preserving all their Fireflies, meeting reference, transcripts, summaries and notes for the manager or another employee? Is there a way for an admin to both transfer or reassign the departing user, entire meeting history before removing the accounts? So you won't be able to actually access its meetings depending on the privacy settings and access. If all their meetings is set to only owner, no one else will be able to access. Only if you enable a super admin, then it is something that you will need to agree with Firefly and sign a contract. And you have a super admin that enables that admin only to access. So not specific managers, the manager can be the super admin, but you have to sign a contract for that for you to enable the super admin that will be able to access all of those. So there's no way to both transfer or reassign what you can agree with the teammate that is off-boarding, maybe change the meeting access if he wishes, if it is a part of the company rules and compliance. Then if they change to public access and move all to a specific channel, then other teammates will be able to access that. But there's no reassigning for another user. The host, all the data keeps, is get kept in your Firefly's workspace. Of course, if you have auto-delete, it will get deleted. But if you don't have auto-delete, even if someone leaves the workspace, the meeting will still be stored in your Firefly's workspace. Let me know if that answer is basis. And Chris is saying that they have multiple users with Firefly's accounts that are not under the enterprise plan. How you disallow their access? They don't want them to have an account with your domain. Yeah, great question. So let me go back to the basics here, Chris, for user and user groups. So go to settings. And you're going to see teammates and groups. So here's where you can create the groups that I mentioned for you to easily share meetings and summaries with others and groups. To create a group, click here, give a name, add a description, and just browse the members and keep adding. Then in that group, you will also be able to set the same private group. So if you want to create a group, you will also be able to set the same privacy and access levels that we discussed. So yet another layer for you to set for groups instead. But for you to remove, you can simply scroll, if you're an admin, of course, you can just choose here and deactivate or remove. You don't need to remove if that person might join back. You can just click here and deactivate their account. You seize their access to your workspace. Let me know if this was actually your question about it. And yeah, as Redmond also explained here and we showed, you can also use SSO. So whenever someone with your domain gets a user, it will automatically join, but you do also have to set up skin for you to enable the auto removal as well. If you're an admin, you can set for your team or just for yourself in personal. And here's where you see when it should auto record meetings. So here are all the options. If you're an admin, you can allow each teammate to choose or do join all meetings with calendar events that has a meeting link. So I'm actually meeting, but then I'll take it to join. Only meetings you host from your team participants. So mostly inter meetings or only external meetings, only when invited. And I will show how you can manually invite or record all meetings with teammates. And as I mentioned before, all the same options will be similar for after the meeting. So this is before the meeting, after who can have access to the meeting and who gets the recap by email as well. So we can set that all on the recording and privacy, but for manual access, you can go here. Add to a live meeting, you'll just drop the meeting link here. For Eileen, you can see here already Microsoft Teams, so you can drop here. You can name the meeting or leave it option, leave it blank. Also, if you had a meeting and forgot, something I forgot to mention before, you can just simply upload the recording here. You'll get the full transcription and summary for that meeting. And something I show, it is also our lovely desktop app that we are constantly improving and enhancing. So if you have our desktop app, you can simply take notes. It will start recording right away. And as I mentioned, the best thing is the live assist. You can see the transcript in real time. You can ask friend everything about meeting. And if you're also using for sales, you have the sales assistant. So you can import your whole knowledge base for sales and use that during the meeting. So you don't need when someone have a difficult question, let's say, I couldn't answer John's question here. I could just ask Fred and say, hey Fred, what are the options for auto-join? And if you have your knowledge base in your workspace, Fred will give me live a reply. I could simply copy and paste here for John. But John, as Chen also mentioned, if you are referring to our voice agents, let us know, I can also give a short overview. Oh, the interview, yeah, it's a voice agent. You can set up a discovery call agent for that to at least reply the first very few basic questions. Then you set up a more dedicated, better and tailored demo for the customer. So then you are already qualified and remove the bad leads. And with that, you build up better demos and convert better your sales deals. But at the same time, you can use that for product. That instead of you manually going in Slack, email or any other tool and say, hey, this is what I'm doing today. What is happening next? You can set up an agent. You talk to them what's happening and it sends output with the full report of everything that you were doing this week. What you did, what's the status? [00:48:46] Speaker 1: Got it. So you're actively supporting customers right now in a live setting. That's helpful context. Can you walk me through a specific example from one of those sessions? Maybe a customer who came in with a particular issue or question that was tricky to explain or resolve. What was the problem and how did you talk them through it?

[00:49:04] Speaker 2: Yeah, this is the trickiest. I'm live demoing yourself for our customers. So this is one of the examples of a live demo and how they can easily see all our features. I will end now this, because it's not the main purpose, but yeah, you can give feedback on how that went. And let me show you. Let's go back to. Then you can integrate that to your ATS, to Slack, to a Google Doc. So all the summary and description of the meeting, you can easily automate that to other places. Let me go to my live feed. Sorry, AI feed here. Again, one example, there you go. So, I'm not sure. So this is an example of an output from a Google Doc. Another example of an output from a voice agent meeting. And of course, you can tailor the output, you can choose, and you can still use Ask Fred to help you with that. And you can check the full meeting as well. I don't know if that helps, Jeremy. For specific meetings, say that meeting owner has gone onto a website, click upcoming meetings, and toggle auto-join off. Will the other participants, note-takers, join that meeting? So it depends, Eileen. So if they are the host, they will have preference for what joins or not. But they can always record that. But by setting the compliancy notifications, you get a notification on who's actually recording that or not. But there's also a case back with the rules engine. Like if you need granular permissions, and you wanna make sure that a meeting is only for the host, with rules engine, you can avoid anyone else recording that with auto-join as well.
