[00:00:02] Speaker 1: With Rules Engine, you define the conditions once and Fireflies handles the rest automatically for every meeting. Rules Engine is an automation system for meeting workflows. You create rules that say, when a meeting matches these conditions, do these actions automatically. Think of it as if this, then that for Fireflies. If a meeting title contains demo and there's an external participant, route it to sales, share with the sales team, and set privacy to teammates only. Without Rules Engine, someone does this manually for every meeting. With it, the work happens automatically, consistently, and without human error. Note, Rules Engine is enterprise only. On other plans, you'll use the manual workflows we covered earlier. Rules Engine is what makes them scale. Every rule has two parts. Filters determine which meetings the rule applies to. You can filter by title, host, participants, or meeting type, and combine multiple filters with AND or OR logic. Actions determine what happens. You can route to channels, share with users or groups, or enforce privacy levels. A single rule can have multiple filters and actions. If title contains interview and host is in recruiting, route to recruiting channel, share with hiring managers, set privacy to participants only. One rule replaces dozens of manual steps. Meeting title matches by keywords. Type demo and any meeting with that in the title matches. Add variations like discovery or sales call to catch different naming conventions. Meeting host matches by who scheduled. Meeting participants matches by who attended, teammates, user groups, or external emails and domains. Meeting type is the simplest. Internal means only teammates. External means at least one outside participant. When you add multiple filters, AND means all conditions must be true. OR means any can. Auto route sends meetings to specific channels. Sales calls to sales calls. Interviews to recruiting interviews. Auto share gives specific people access. Select individuals or, more powerfully, user groups. This is where groups pay off. Set up the group once, and every matching meeting is shared with everyone in it, including new members. Enforce meeting privacy overrides the default for matching meetings. Set HR to participants only. Set board meetings to only owner. Set team demos to anyone with link. Privacy enforcement overrides individual user settings. If someone sets their meeting to anyone with link, but your rule enforces participants only, the rule wins. That's how admins maintain control. Before activating a rule, test it. Click Test Rule, and Fireflies checks your last 10 meetings against the filters without executing any actions. You see which would have matched. Review the results. If meetings you expected to match aren't showing, adjust your filters. Better to catch mistakes here than discover your rule misrouted meetings for two weeks. Track activity in logs history. You can see every rule trigger, filter by rule or time, and see which meetings were affected. Invaluable for troubleshooting. If someone asks why a meeting ended up somewhere, check the logs. To pause a rule without deleting it, toggle it off. To modify, click Edit and test again before saving. If you delete a rule, past actions aren't undone. Meetings already routed stay that way, but the rule stops applying to future ones. Everything you've configured, groups, channels, privacy, integrations, AI skills, connects through Rules Engine.
