REV Streamlines Public Defender Evidence Review (Full Transcript)

[00:00:07] Speaker 1: I'll give everyone a couple more seconds to jump in. All righty, well, we can kick things off. I hope everyone is having a great Wednesday and appreciate everyone joining. This will be recorded, so anyone that isn't able to make it, you'll get sent a copy of this. And if you have to jump early, which I hope you don't have to, it'll be recorded as well and we can follow up with that. So I'm a County Executive here at REV. I work specifically with our public defenders teams, so both the attorneys and also the investigation teams or investigators that are part of those offices. So today we'll have like a quick agenda going over what we're going to discuss the next 25 to 30 minutes, and then we'll jump into a demo and then have some time for questions afterwards. If you do have any questions, there should be a question bar at the bottom of this. Feel free to throw those in. We will get to those near the end of this as well. So we'll start here. So today's agenda, we'll do some quick introductions that I just did, a walkthrough of REV that will kind of show how it can match from your workflows, from getting that raw evidence, getting into REV, and then getting into, you know, motions to suppress or demand letters and those sorts of things. And then we'll have some Q&A at the end. This is me and my contact information. Feel free to reach out after this if you have any questions or would like to follow up. Always happy to chat.

[00:01:51] Speaker 1: All righty. So what you'll see for the next 25 minutes is a DUI case that I'll be going over. REV applies really well to this, along with any other cases that you guys are doing on a day-to-day basis. Obviously, every case today in this day and age is going to have audios, videos, PDFs, all those sorts of documents. So we'll be showing you taking that raw evidence and those raw forms of media, getting it into REV, and then moving it and matching your workflows of getting to something usable, like a motion to suppress, a demand letter, with everything cited back to the original source. And just to kind of give some context, I spend a lot of time with our public defenders teams. You know, I won't spend long here because it's something I hear over and over again that the cases keep growing, you know, headcount is always tight, you know, all of these cases just continue to have so much evidence attached to it. You know, there are studies that even a low-level felony will take anywhere from like 35 hours to handle and go through end-to-end, just because of the body cams that continue to grow, the police records and those sorts of things that just continue to grow and grow and grow. And obviously nobody has enough time in the day to go through all of that. And you know, sometimes it's the one thing that you miss that can, you know, really matter most. So we'll show you how REV can look through all those, get you into documents and into a place that is very helpful to your workflows on a day-to-day basis. So we'll start here. This is what REV would look like when you were to first hop into it. So the main way that REV would ingest your files to begin with would be these upload options here. So depending upon how your organization stores files today, you can hop here. If you have your Google Drives, your OneDrives, your Dropbox or Box, you would just sign in there and move those cases into REV. Not a problem if you don't have any of these integrations. The main way that our teams, our bugfinder teams would push in their files is going to be the zip file. Best way, just because when you do get handed that case, it's probably in this format. Just a way to push in the audio, videos, PDFs all in one batch. Other option would just be this browse files and you just push them in that way. And then these kind of cover our supported formats. So REV historically was kind of just based in the audio video game, but we have taken over into more of a way of getting all those different medias like I mentioned. So we can take your documents, we can take your images, and then all of these different types of audio videos. All right, and then once those files are in, you can begin your organization and workflows from there. So for if these files are just going to be in yourself, you can direct them into my MyFiles. Most of the time, we're going to want to push these into the workspaces listed over here on the left-hand side. This is where maybe yourself and a couple other attorneys are looking at a case, or maybe your investigator wants to look at this and kind of go through the data with you as well. So this would be an area where you can begin to store those and multiple users can look at them at once and edit and work through them. So we'll jump in here to this. So let's look at a view of how you can organize your evidence once it's in REVs, you can create these different folders. I'm going to jump into this DUI folder here. So this is what the first look would look like as your evidence is in here. So you'll see we got the different PDFs, we even got some images and then the two main body cams. So to start, I'd say 95% of the time the file names are not going to be as simple and straightforward as these. So if it's random numbers, letters, those sorts of things, easy to jump over to this summary and get a quick understanding. And then you can rename your files from there over here. Another helpful tip would be using this filter over here. So maybe this one I need to come back and review, this one I need to come back and review, I can mark those as green to come back and look at. Maybe I already took a look at these images, I don't need to view those, or maybe my investigator is purple, needs to come look at these for me. So you can filter that way and then you can sort your filters through that way. All right, and then once all your files in here, we'll kind of kickstart that workflow that you would do on a day-to-day basis. So I'm going to jump up here, select this checkbox up here, which is going to grab all the different files I have. If you didn't want to have files jumping into this workflow, you can just uncheck them. Now I'm going to go up here and click this Analyze button. All right, and now your files will be listed over here. I'm going to jump up, and the first search that many teams will do would be a gap analysis search. So this search would be specifically to find any braiding material that is not listed in this evidence to kind of figure out this case and see which material do I need to request to get back from the other side. So I'll jump up here. I'm going to type in this template for a identified discovery gaps and click that. And what this is doing in the background is it'll give some visual of what's happening and then also just kind of highlight what it's doing is going through each of these different PDFs, each of the body cams and taking a look at them. The uniqueness of this is that it's a closed loop system. So this is not looking on the internet to make up random things. This is just tied to these documents here, which significantly reduces the possibility of hallucinations. Hallucinations is a big term that comes up where AI is creating things that are not real, but because we are only tied to these specific documents, it's going to be very accurate and everything will be set it back. So with this search, it's going to these templates that this one is in your account by default. This is also an area that our team can help support you on our enterprise agreements to customize these. So maybe you want it to be adjusted in certain ways or have different outputs. Those sorts of things are also available for us to help you with. Okay, so we got our reference, but absent, it'll list out which things it is pointing to and everything will be citable back to its source. So for this one, it came from this area, it'll pop up that specific file and then also the exact moment that this is mentioned. So again, here popped up in there and here, this came from a PDF. This is expected but absent as we move down, so as you can see, this can all be updated as you go. The other area would be, so for example, if I wanted to create this into a document, you can drop down here and click on this draft document. So what this did was just take this search and then move it into a document format. Okay, so as you can imagine, after this, I kind of figured out the materials that I need to request and drag in and send off that discovery letter to get that information. In this scenario, we'll imagine that that actually happened in a quick fashion. So what I would do next is jump up here to add files. You can either upload them in the main page or just upload directly into here. So imagine that I'm uploading those files that I now have, so I can add my case in its entirety here. So the next search that I will do to match you guys' workflow would be a case chronology. So I have all my evidence in here in one frame, so now I'm going to jump up and click on this case chronology. While this is going, maybe I wanted to jump in here and maybe take a deeper look at this transcript. So this is what it will look like for a single transcript. So while that search is running, I'm going to jump in here and just kind of take a deeper look here. So at first, you can jump up here and adjust the speaker names. So what this will do is it can pick up on the different tonalities, and it'll go through and bulk edit those. So now that I have those in, to kind of jumpstart the review of this audio or video, you can jump over this for FBI chat. So this could be an area where you're like, where do the brenda rights give in? What rights do the drivers have during field sobriety tests? So any of those top-of-mind questions, you can jump in here and ask those. Very similar to what we were just doing. All of this will be cited back to the original source. So for example, if I wanted to jump to this area, click on this timestamp, it'll pull me to that moment. I've got another answer here, and I'll just jump to those areas. We'll jump back here. So this is now giving us an output. So for this case, chronology, we're going to start with an overview of the different materials, and then it'll jump into a hour-by-hour case chronology across all these different files. So instead of having the whiteboard in the background or trying to keep all this in your head, this is just going to lay out the entirety of what's going on with this case to just help jump into your review and speed that up now that you have all the information. Again, each area will be cited back to a specific source. So for example, this came from the body cam. This came from another PDF. So as you go on and on, and again, these areas can be adjusted to how you guys would like it to be laid out. As we head down here, we've got some key evidence by event, and so on and so forth. So we'll jump back to this body cam. So some other functionality that comes along with this is going to be able to clip. So for example, maybe I want to jump back to this section, and I wanted to clip just this part of the body cam. You can highlight this certain section, click on this create a clip, save these clips as you go through, and then you can download these for later. So you can select these, jump up here to download, you'll have the video, the transcripts, or you can do one or the other. If you wanted to do the entirety of the transcript, you can jump up here to download, and I have the different options here, plain text, Microsoft Word, PDF, those sorts of things. All right, so it looks like we're finished up here. The next area that we could do would be identify all the inconsistencies across these documents. So that would be the next search that we'll do. So we'll go ahead and push that in. While that's going, we're going to jump back here, just show a couple other functionalities that come along with this. So we also have search and replace. So you can search certain names, replace those certain areas of anything that needs to be changed there. Another area that can be helpful in this workflow, in that like investigator handoff to the attorney, you can comment on certain sections. So for example, if I wanted to comment here, maybe this needs to take a deeper look at, this is a key moment that, you know, X, Y, Z attorney should be able to look at. Those are some additional functionality within there. And then a quick look at highlighting. You can highlight specific sections for review later, you can jump up here and click on the highlight. Okay.

[00:15:01] Speaker 1: So again, it'll give you a quick readout of what this is doing in the background, and that it's compiling all those findings right now. I'm going to make a quick jump back to the, so this was the previous search done from the gap search. So this is the other area that we're able to do is going to be creating documents. So you can always send this out for later. Think of this more of like a Microsoft Word that you can continue to edit and refine as needed. It can kind of be your first copy of documents. Okay. Jump back to the search. Okay. While that's running, we're going to jump to more of the end of this. So as we've gone through, we've done our inconsistency search. While that's still running, we're going to jump to what a motion to suppress will look like within Rev. So this was another case. And what this did was after we've gone through and gotten the Brady material, we've done the case chronology, understand the case. We've then moved towards the end of our workflow where we're getting into the motion to suppress area. So jumped in here, clicked on a template, and this is going to be your first draft. And again, we can edit these and customize these. We have like prompt engineers on our team here at Rev that can address these as you go. So this one has the statement of facts. It'll list out the different argument sections. And nice as well, it'll call anywhere where the attorney needs to jump in and to check or add in their expertise. And then at the bottom, we'll have this on all of our templates where it's calling out this as a template, everywhere that the attorney needs to jump in and add those requests as well. And again, this will be your first copy. This will always save as you edit it. So for example, if I was to delete out this area, I can jump up here and click save. It will have the version history all the way back to that first version. So as you continue to edit and make changes, you can always go back to the original copy if needed and show anywhere where the changes have been made. So we'll jump back down here, make sure that this was deleted out. Just to give an understanding of this, as it can be obviously annoying along the way if you can't go back to the original copy or see what was changed along the way. Okay. Well, that is sort of start to finish from raw evidence all the way into something usable document creation area of RASDA. But yeah, just overall, I want to show how we can take you from that raw product all the way to the point that we got here today.

[00:18:25] Speaker 2: Thanks, Will. We'll go ahead and open it up to Q&A now. Our first question that we have is what kind of data size limit is there to use the AI Discovery Analyzer and other similar functions?

[00:18:41] Speaker 1: Yeah. So we'll jump back here to the homepage. So our file limits can be found. It's 20 gigabytes per file. So each of these different files, you can do up to 20 gigabytes within there. Within RevInsights on our enterprise plan, you can have up to 500 files listed here as once. So you can do an analysis across entire caseloads with that up to 500 file limit and 20 gigabyte per file.

[00:19:12] Speaker 2: Perfect. Thank you. And then our next question that we have is how does Rev tailor its platform to public defenders?

[00:19:20] Speaker 1: Yeah. So we have a public defender program. We work with a lot of public defenders and we kind of hear your concerns and areas. So we do have specialized pricing. We have free trial runs for our public defenders to test out the platform and also just more of that customized piece. We've worked with a ton of public defenders and also our team here has a lot of prompt engineers that can come in, map to your specific workflows along the way. So it's definitely part of our public defender program, which can go into more details if anyone has any further interest there.

[00:20:06] Speaker 1: Yeah. So across as a base tier across all of our different accounts, we have SOC 2 compliance. And then from there, we have HIPAA compliance and also CJIS standard compliance. So each organization has their different standards that we can map to. So all those options are on the table for security. It's really just comes down to what the organization needs. But yeah, we again, we can cover kind of all the security needs that you might have.
