Set Up Fireflies for Meetings That Drive Action (Full Transcript)

Meeting notes, recording summaries, and daily recaps. I love my daily digest. If you don't have set it up as well, always one of my favorite ones. I start all my days checking my daily digest. Cannot live without it anymore. Guilhermo is not working at the moment, but he's watching to check what everyone else is doing. So, yeah. Actually, Guilhermo, if you're not working, using Firefly's for interviews is great as well because you can use the live assist and summarize what is happening live while at the interview. You can ask questions. You can ask Fred to do some follow-ups. So, I can show you later as well. But with that, more folks will join, like Alicia. Welcome. And we'll get things started. Welcome, everyone. So, this is community office hours. I'm Pedro Hernandez, the community manager. And this hour is for you to follow along with your own account and leave with Firefly's actually working for you. Most people just pass the get installed, signing up, and not using the full potential of Firefly's. So, we're going to do this together in five moves. So, open your Firefly's account in another tab and follow along. I'll drop here the link. If you don't have it already, open. And then we can do everything together. So, you already did the hard part. You showed up to meetings and now we're going to follow up three small setups to turn those meetings into actual work that solves itself. And everyone takes about two minutes. We're going to go through connecting a calendar to see how Firefly shows up in meetings. Let's set up tasks. Let's collect automatically your commitment to keep themselves updated in Firefly's or any other tool to connect that tool with the output from the meeting. Making everything seamless for your work. And then we're going to open for Q&A. And you're going to have everything running. Oh, I thought I passed it. There you go. Now I passed it. And then we're going to open for Q&A for you to leave here without any questions. But if you do have questions, drop in our Q&A here is the question mark icon in the middle at the bottom. And I'm going to get all questions either throughout or by the end of this session. So, as I mentioned, five moves. Around two to ten minutes each. And you can do everyone in each in your own account. So, we're going to see how meetings are captured, how notes are collected, how you can connect them, how you can automate meetings to another tools and how you can ask across all your meetings. So, you're going to have your meeting recorded, tasks flowing, one integration possibly connected, one skill possibly running automatically, and knowing how to ask across everything that you have ever discussed in all your meetings. So, yeah. If you have any specific use case that we want us to make sure to cover today, drop in the chat. And I'll make sure I'll go through that in the live demos. So, let's get things started. How you can get your first meeting recorded. Let's see how you can connect your calendars, how you can choose which meetings you will join. If you rather not have a bot, you can use our desktop app. But you can still use our compliance notifications for that. Or I will also show you how to either resync past meetings or import one. You can also use audio for that. So, any audio you record, you can also upload to Fireflies. So, let's see how that works. First, to connect. When you sign up to Fireflies, you will be already integrating your calendars. But you can see here in your home dashboard the settings. And you have all the options here already for your calendar. If you're missing that step, you can always go to integrations in the sidebar here. Connected. And check here that you have your Gmail or Outlook connected without having your calendars synced with Fireflies. But again, when you sign up, that should be happening automatically. But let's see how we can choose what to record, what to notify automatically or not. So, in your settings. And if you're an admin, you can set up that for your team. So, you see here in team settings, recording privacy. The recording part. If you're an admin, you can allow teammates to choose. Or you can choose yourself and also under your personal settings. So, record all events calendar. So, since your calendar is synced, you can choose to record that has a meeting link. Or only the meetings you host. The meetings with your workspace participants. Or meetings, external meetings with non-workspace participants. Or only when invited. I will show how you can invite a friend to meetings. But this will be the manual, the most, the one with the most privacy where you manually choose which meetings you want to be autorecorded or not. Or all with teammates. Then, here, you can also choose to capture meeting video or not. You can choose your language or set your auto detect and mode language. And also, the meeting privacy. So, what happens afterwards? You autorecorded. So, now, who can see it? You're going to have similar options here. So, those who participated, your teammates, only you have access to the meeting record. And summary and action items. And you can also set when I will show you afterwards how when you share a meeting, who can access that link. And the recap notification. The meeting. And then who will get the recap with the summary, action items, everything. You can, again, if you're admin, all these options will be able to allow or not your teammates to choose. Or set any of these other options. So, if you only you want only you to have the recap, set to only me or for everyone in your workspace or everyone that participated in the meeting. And as I mentioned, you can have definitely a meeting without Firefly's bot, but still recorded. You can set the compliance notification. So, how to make it legally compliant? You can set up a notification that the Fireflies will record the meeting in one hour. And also, in the chat notification. So, in Google Meet or Zoom, you see this notification here. And you can customize to your own workspace. So, whenever the meeting starts and you invite Fireflies to the meeting with the desktop app, it is going to notify throughout the chat. And if you're using our desktop app, let me open here for everyone to take a look. If you don't know, you can open here for everyone to take a look. If you don't know, our desktop app still, this is what it looks like. And you can start taking notes here. And you can see we have a notification. And I'm not sure if you heard. I don't know if I said the device audio to catch. But people, participants in the meeting will also get audio notification when you use the desktop app to record that this meeting is being recorded. And now, in your Fireflies camera, when you join a meeting, you set the camera. It's going to have a watermark that the meeting is also being recorded for compliancy reasons. But as I also mentioned, Guilhermo, here we have the live session. So, here we have the live assist. So, you can see here that it is transcribing live automatically. And you can use Ask Fred to summarize so far, catch up, list action items, prepare follow-up questions. So, again, if you're in an interview, you can use it to catch you up, give you ideas on what to ask, see how it's going. So, you can ask anything about the meeting. And you can do all that going to your Fireflies knowledge base and adding everything that Fred must know. So, you can ask maybe you can add to the knowledge base anything relevant to the interview and about any specific job position and use Fred to help you throughout that interview with the live assist. And that also applies to any other. We have specifically the sales assist. So, if you're on sales, you can use it to also add all your knowledge base, your company and brand knowledge base. So, when anyone asks something that you don't know, you just ask Fred and reply live. Instead, I'll say, hey, I'll check with the team and let you know afterwards. No, you can now check with Fred and reply live instantly. So, live assist is great for multiple use cases. But let me go back to our settings. Make sure everyone has everything set up correctly. And the last part for this section is manually adding Fred and Fireflies to your meeting. So, you can see here add to live meeting. You can choose to name that meeting and drop here. So, this is going to be manually added to that meeting that you drop. Or in the calendar or in the meeting, you can just invite Fred at Fireflies.ai and it will be added to that meeting. Or you can just upload any audio or video. You can see here. Let me open this example. So, this is a video. Oh, I think I deleted it. Let me grab the other one. You just upload. Not sure what's happening here. Sorry. All my demos went away. But you can add any audio or video or just recording, right, at the moment, anything that you need. So, we saw how to connect your calendars, how to choose which meetings Fireflies will join or not. Fireflies will join or not. Oh, something I forgot is in the settings. One last step is the recording rules and restriction rules. So, with recording rules, you can further tailor when it will auto join. So, this will be on top of those settings. So, I'll say Fireflies will join in the settings all meetings with external participants. So, that don't have any of my teammates. Then I can also say here with external participants, but only demo meetings. Or if I have any specific domains, I can also add here. So, we'll only join meetings with the Acme.com domain. Now, with the recording rules, you set up to join all external meetings. But now we will only join meetings with the demo and the title and by having this domain as the participants. And you can even further add restriction rules. So, here I want that Fireflies if I said Fireflies should join all meetings with a calendar link. But I want for all meetings that contains HR or interview or legal to avoid recording. So, when scheduling those meetings, I add those keywords and title. Then Fireflies won't join. If you have a recording rule that conflicts with the restriction rules, restriction rules will always be on top. So, if you set a restriction for Fireflies to not join based on those filters, it won't even if you add that to the recording rules. So, this is how you set up how Fireflies can auto join and prevent to join any type of meetings. Now, going back here. So, now everyone how the meeting is being recorded and decide also who can get the summary. So, let's see now actually the notes, the summary, the action items, and the tasks. But before that, let me just check the chat here. Oh, sorry. I think I didn't. There we go. So, Kathleen is asking the client does not see that question. It does not, Kathleen. So, Live Assist, it is all on your site only. It won't show to customers. But if you are using Google Meet or Zoom and you can also use the chat for that. So, if you ask in the chat, in the meeting chat, slash FF for Fireflies and you summarize the meeting so far, then everyone in the meeting will see that. Not only you. But if you rather not, you can either use our Chrome extension. It will work just like the Live Assist or the desktop app. We always recommend just use the desktop app. If you don't need to add start taking notes for all meetings, if you have on your calendar and also in your settings, should be recorded, the desktop app will automatically recognize and you can use the Live Assist for any scheduled meeting that you have. But let's just go through the summary, the action items, and meeting tasks. So, let me go back here. So, here you have your notebook with your meetings. All meetings from your workspace. If you're using voice agents meetings, it will show up here. All your uploads. I just show you how to add here. And all your channels that you have. So, let me open the meeting here. My meetings. Let me open. Actually, search here for a meeting. This is also how you search for meetings. Let me just get another one here. So, this weekly one. You can see the video here. You can hide it. You're going to have the general summary. It is the default. Or you can use any setup here. Reset. Or create custom ones. I will show the difference. So, this is the general summary that PowerPy automatically creates. It has the notes, the timestamps. You can see all the action items here. You can see how many to do. You can already use Ask Fred to draft. Let me go back. This takes directly to Ask Fred. And you also have the skills. I'm going to go through the skills later. So, but here I also created a follow-up analyzer. So, this is a custom summary that goes through the meetings and creates a summary tailored by me. So, this is something that I don't want to use the general one. And I can set up that as the default. So, you can also create your custom ones. So, super assessing. Let's take a few minutes for that. And here's where you also have the transcript. You can find. You can replace. You can adjust the speakers. You can copy any timestamp. You can select and create a soundbite. So, you can share. If you want to share a specific part of the meeting, you just highlight the transcript, create a soundbite, and share with anyone externally as well. You can copy the full transcript and edit any part of it as well if it is incorrect. Let me check the chat. Just while my custom summary loads here. And there you go. So, you can see here the summary that I created, I wanted to know precisely the things that I should do after a meeting. So, it fetches all the action needed from me. When it was mentioned, it catches the ETA, the status, who requested. So, you can also create similar tailored ones for you as well in your meeting notes. And then later, you will see all your tasks that pulls up from meetings. It lives here below meetings, tasks. You can see all tasks from the workspace, if you're an admin, are only your tasks. You can mark complete. You can delete. And if you click, you can also edit. Also, you can select integrations and move your tasks to any specific tool that you have, like Asana, Monday, JIRA. And I will show how to integrate that later as well. So, that's it. You can have your meetings, you can have your meetings, you have your tasks. Now, let's connect that to an external tool. But let me check the chat first and the questions here. Yeah. So, we're having a lot of questions about integrations. This is one I want to cover after we have questions about ClickUp and also with Claude. So, something let me address the ClickUp first. So, Duncan, this is how you can move all your tasks to ClickUp. You just go here, connect, and move all those tasks. But in the meetings itself, you can, again, open any meeting. And here, you're going to see the integrations. So, you can just search for ClickUp here. And like Slack here, you're gonna have the options to send the tasks or any specific configuration. So, let's go through how you can connect your tools to Fireflies. So, first, go to integrations. Then simply search for yours. You're gonna see here ClickUp. I won't connect ClickUp since I don't have it. But I will show something similar with the ones that I have using Slack or Notion as an example. So, for any integration, you just search, open, you're gonna see connect. It is all true also. You just log in with your regular user email and it will set up here. And then you can set up specific configurations for any integrations and all are pretty similar. Let's configure in Slack. You're gonna select the channel, the message that goes on top of that message. So, less meeting notes. I will show you. You can customize. And let's create a sample meeting. And now, let's see on Slack what that looks like. Let me open here first. And share my screen to Slack now. So, you can see my Slack. The notes that I added. Less meeting notes. And now the full summary here. But as I mentioned, for all Fireflies integrations, you can also add additional options. And this will work very similar to how you choose which meetings get recorded or not. So, you can add multiple configurations with multiple filters. So, let's say I want for the community demos channel. It should only route meetings that has demo in the title. So, for each specific use case you have with your external tool, you can set up rules for different configurations. So, let's say for you want to set all meetings that happens with the sales team to the sales Slack channel or to the sales documents. And for the on, this is where you tailor your integrations. Let me go here. And you connect it. You have multiple past meetings. You can click on the three dots and choose to push past meetings here for all integrations as well. This is live. For any integration that you want to connect with Fireflies. Let me check. And Denver is asking how this integrates with high level. So, high level, it is a regular CRM integration as well. You can click here. See all CRMs that we have available. Fireflies is the note taker that has most integrations with any other tool. You can click here. Connect. Denver. And then just choose what you want to push to high level or not with all the filters. Just seeing people typing. So, let me just double check the chat. So, for if you are having any automation errors with your integrations, be sure that you're an admin in both tools. Not only on Fireflies, but other tools like high level and also Fireflies to make sure you're allowed to connect that externally. But if you're actually an admin both, admin both, just reach out to our support. They can check what is happening if you keep having errors when trying to connect with external tools. But the best thing after you connect your tools, it is actually using one skill. So, not only using AI skills in Fireflies, but also pushing that to external tools for that action analyzer that I just showed in my meeting notes. I have that sent to Slack. I will show how I do it. But just go ahead and also pick one. I will choose skills. If you don't know about it yet, it is one of the most powerful things that you can set up in Fireflies. So, let's see together how that works. In your Fireflies dashboard, you can see here AI skills. And there's multiple for multiple use cases for sales, if you're marketing, HR, or just for productivity, creativity, general. You can see I have one here for Slack. But the one that I want to show, if you don't find amongst all the options here, you can see the ones most used as well. It is ranked. You can also create a tailored one for you and preview here with best meetings before you set it up. But let me get that I mentioned is my follow-up scanner. This is the one that I created. So, you can see here the instructions. You're meeting action analyzer. Fetch the last meeting. Let me know clearly. Even if it doesn't have actions for me, say that clearly. Analyze the transcript. The status, the ETA. And this you can choose when it runs. So, it can be per meeting for a skill like that. But let's say you're a sales manager or a hiring manager. You want a skill that runs in all your reps and provides you a weekly summary on how those meetings are going. You can choose the output type, even slides. So, if you need to present something like that, how sales calls are going to the sales director and your sales manager, create a tailored skill for that. Set it to run. Set slides. You can see it. And here's where you choose when it will run. So, in custom, you can choose multiple filters as well. So, here, if you have, you can add for all participants, you add all your sales reps or just hiring managers. And it will run all the meetings there. And for this one, as I mentioned, I have it routing to Slack. But, again, you can connect any two here. You can choose the model that it runs as well. You can choose who can see this precise skill because they can also copy or use themselves. So, after I integrate this specific skill, it is scheduled per meeting. Here, how it looks like on Slack. So, let me go back to my Slack here. And you can see here, I had a custom message. So, my follow-up scanner, the action needed from me, more context. If I want to ask for the things, I can click to open in thread. So, this helps me in all meetings to know precisely what I should do or not. Yes, Denver, let me get my meeting action analyzer follow-up scanner. The name is not the best if you want to suggest a better one. So, here is my custom prompt or follow-ups. Feel free to copy away and use yourselves. Kathleen, I can grab your question later for the Q&A about asking questions during sales calls with the live assist as well. Let me see if there's any other questions. I don't think so. But I'm curious. Let me show you some other examples of AI skills that I have set up. I'm curious which you all are looking for the most. So, I have also, I work in marketing. So, I have the customer proof meeting agent. So, this is an agent that scans all meetings with customers in the past week and try to find testimonials or great quotes. So, it scans all that. It also pushes to Slack. Then, I can go with the customer and ask if they want to create a case study with us based on the things that they said. I also have a content recommendation agent that, again, also runs in all customer meetings trying to understand the most frequent talks, questions. So, based on that, I can create guides for them and publish in the community or just planning events like this one. So, again, there are endless options of skills. If you want, we can create one together or let me know the ones that you plan to enable in your settings. I'm curious to see if also follows this rank here. One on ones, ideas, dailies, to do. So, this is a very similar to do ones to my follow up analyzer. Just checking the chat since you're chatting here. And great question, Kathleen, or message, because now I want to start with the next session of this meeting that is all about asking your past meetings, using Ask Red and all that it enables and makes happen to taking your meetings to a full knowledge base and brain that you have it live. So, again, in your home dashboard, you're going to see Ask Red already here. Red also lives in your meetings. So, you can ask in all your meetings, you can open a single meeting and ask about that meeting or just ask all about it. So, I will even use your own use case here, Kathleen. So, top ten sales calls transcripts and help create a pitch deck. So, let's actually do that. So, based on the last ten sales calls, this might take a while. I will not use Astra here. Let it auto pick the best one. I will just ask a single slide for the sake of time. Create a single slide for pitch deck. Slide. Let me actually say image. So, let's see what works. And this is how you can use Ask Red through all your meetings. I will show some other examples that I have saved here. So, now Fred can create visuals or you can just put up text and ask all across your meetings and pass knowledge. While it fetches here, I will actually just share this instead. So, you have some examples here. You also have the Daily Digest, but you can go even further and ask Fred to do things externally. So, push things to Slack, push things to Google Docs, push things to Notion, update HubSpot, update HubSpot. So, Fred is your most reliable assistant. Let me go back here. Let me share. So, here's some example. So, what I ask in here. So, summarize the meeting tasks, send that to Slack, to Notion Calendar. So, you can see here it created for myself, but also for others. My specific ones with ETAs, what I have to do this week. I can also use to find. So, then you asked about quotes. You can use it to find quotes and create something already. You can use to create flowcharts. So, we just had a meeting about an upcoming launch. Create the full flowchart based on what was discussed. You can set up action items. So, you can create great visual next steps using all with Fred. So, the timelines. So, you just had a sales call, and you can ask Fred to set up the specific timeline for you to present that externally as well. Or just use as this example. Summarize last meeting, my action items to do for this week, prepare me for upcoming meeting, help me fetch things from Slack. So, for this specific office hours, I just asked Fred about the replies to my emails. So, how many replied about this meeting, about this event that we're having, and fetches from Gmail as well. So, let me go back to there we go. Not the best. I think I can improve this prompt here. Caitlyn. But, yeah, you can use that for ask Fred as well. I also I want to also say that to actually help with that, I have we created we created a resource for you to draft better questions to Fred. So, let me get here. It is the ask Fred prompt playbook. I will drop here. And yes, Denver, you can connect Fireflies to Cloud and also Fred to Cloud as well and speak to that. Let me check the questions again. Yes, Anna, you can push anything to your to do list. You can tailor what goes. If you need to further tailor what goes to any integration, you can use what we discussed. So, like, I'm not happy enough with how things are integrated with any specific tool. You can just set up any ISQ, fetch precisely what you need to get and pass on. And then in that ISQ, you just connect the two you want to send those. And this is how if our general integration doesn't work with all the options, you can further tailor the outputs using ISQs. And that also great question because it brings me to my next session here. For our event, that is what use credits, what doesn't. So, as I show, when you connect an integration, anything that you push automatically to then to it won't charge AI credits. So, when you capture meetings and capture notes, tasks, anything by default doesn't consume credits. But when you use AISQs, when you use our email assistant drafts, when you ask Fred throughout many meetings, not in the notebook. I will show where ask Fred doesn't require credits. It is when you spend credits. So, if you want to, as I mentioned, tailor your Todoist integration with anything very specific that you want to prompt from the meeting and pass it on, it will charge credits. And, again, the only place that using ask Fred don't use credits, it is in your meetings. So, you open your meetings and here you can ask Fred and it won't consume. And we are launching now ask Fred pro more capabilities that will consume AI credits. But if you have to go off, you can ask away with the same capabilities that you have currently and it won't charge credits only when you use ask Fred to browse through all your meetings. So, I hope that's clear. And for your next meeting, so then be sure to have your calendar connected, your tasks flowing out of the meeting to an integration, and be sure to check, start with one skill, see how it goes, and then you can use multiple as we use here as well. Is Fred and Firefly a different MCP? So, yeah, there's the information that it can bring to Fred. So, and then another that you push out to Fred to other meetings. Let me cover that since you asked it. Let me share here. So, there are two kinds. You can bring information into Fred with connectors like I have here. Web search, emails, like HubSpot, Notion. And you can move things out. You can ask Fred to perform actions with custom connections. So, custom MCP. You can just say here Cloud. You get Cloud's MCP server. And here, and when you save, it will just require your regular authentication. You will go to a Cloud popup, you connect, and now you can push things out of Firefly's. You're welcome. So, just make sure we're using the right terms here. So, you can use our custom connections. That is the MCP from those tools pushing into Fred. So, you can go there in connections. And then to push information out of Firefly's, you can use using Fred. You can use the custom connections. So, this is Firefly's MCP. Let me actually bring here our guide all about it. And then you can test and check. I'm dropping here in the chat. And Vanessa is asking, can you go back and show what credits, when credits are free and credits are not free? Yes, for sure. Let me go back to just the slide here. I will show you also what it is and what is not. So, capturing a meeting, having the full summary, having your task listed, connecting integration, and automatically pushing, as I mentioned, a meeting to Slack, won't cost credits. When you use our AI skills, our voice agents, our email system that automatically drafts replies and follow-ups, when you use S-Fred across all your meetings, that does consume AI credits. The only place that Fred don't consume credits, so, this is the global S-Fred, where you can bring things from other tools and also push things to other tools using Fred, is where it consumes credits. But when you open a meeting, and you want to ask all about this meeting, that won't consume. So, you can ask about this meeting, ask away, use Fred here, this won't consume. We are launching Fred Pro that is only in this place that you can move specific things about this meeting to other places and more. But for specific meetings, you can ask away only when you use the workspace knowledge to push things from Gmail, from Slack, if it's connected, or just ask across all meetings, or create things like those visuals, this will consume credits. If you want to know, let me also show you here live, where you can tailor what and where is getting spent. So, in your settings, you're going to see AI credits here. You can see the users from any specific range, or who's spending where, from any specific range, or who's spending where, so where it's getting more spent. So, Fred, AI skills, email assistance, you can see the full breakdown. So, I'm seeing that this is getting spent a lot on AI skills, okay, which is getting spent more, who's spending more, and then in your billing, sorry, in your account settings, in subscriptions, you see your AI credits. Let me go here. I was in the personal billing. So, in the admin billing, you can see AI credits, and you can add your subscription, or when you cancel your AI credit subscriptions, you still have all the capabilities for summaries, notes, tests, integrations from Fairflies. You won't just have the AI skills using a spread to ask across all your meetings. So, you add in here, you can choose monthly, annual, to save some, and you can choose how many AI credits you're going to spend, and you can even choose to auto-upgrade. So, oh, I spent all my credit this month. I need to spend a little bit more. I don't need to go here. Updates, to have more, you can set the auto-upgrade. It will upgrade for the next package, or if you still want to review all the times when you reach the limits, just leave it off. And that's it. I think I covered all questions.
