A checklist for fixing any AI transcript

Use these five steps with any transcription tool. The original recording is your reference for checking accuracy.

  1. 1

Keep the recording and original draft

Save an untouched copy of the AI transcript. Confirm that the recording matches the draft, especially if the audio or video has been shortened. Gather a reference list of names and specialist terms.

  2. 2

    Choose your transcript style

Decide whether you need verbatim speech or a clean transcript. Follow your style rules for filler words and repetitions while preserving meaning. “We might deliver” must not become “We will deliver.”

  3. 3

    Listen and correct the words

Replay difficult passages. Check names, numbers, dates, technical terms, and negatives such as “not” or “can’t.” Look for missing or duplicated speech. Mark unresolved words as unclear with a timestamp instead of guessing.

  4. 4

    Check speaker labels

Listen at each speaker change. Split paragraphs when another person begins speaking. Before renaming a speaker throughout the file, confirm that the label consistently refers to that person.

  5. 5

    Review and export

For a fully reviewed transcript, check the complete recording. Open the exported file and confirm the text, speaker labels, and timestamps. For captions, check timing and readability against the final video.

Whisper

How to fix Whisper transcription errors

Whisper is used through different apps and developer workflows. The editing controls depend on where you generated your transcript.

  1. 1

    Check the language and task

If you wanted the original language but received English, check whether translation was enabled. OpenAI's Whisper API distinguishes transcription from translation into English.

  2. 2

    Correct the existing draft

Compare the text with the recording. Make corrections in your app's editor, or export the transcript and use an appropriate text or subtitle editor.

  3. 3

    Supply terminology when supported

If you rerun transcription, provide a short glossary of unusual names and acronyms where your app supports it. Whisper prompting has limits and does not work like unrestricted chatbot instructions.

  4. 4

    Review the new result

Check unclear passages, missing words, repeated text, and audio chunk boundaries. A newly generated transcript still needs verification against the recording.

For a few isolated mistakes, correcting the existing draft is usually more direct than repeatedly generating the entire transcript. If you export subtitles, check their timing against the matching recording.

Gemini

How to fix Gemini transcription errors

Treat a Gemini-generated transcript as a draft. Compare it with the original recording before using it for quotations, publication, or subtitles.

  1. 1

Match the transcript to the recording

Keep the original audio and an unchanged copy of the draft. Confirm that both cover the same recording.

  2. 2

    Clarify the transcription request

If generating a replacement draft in the Gemini web app, select Add files, then Upload Files. Request transcription in the original language, with unclear speech marked and summaries kept separate.

  3. 3

    Edit while listening

Copy the transcript into an editable document. Check names, numbers, missing words, and speaker changes against the audio. Verify suggested corrections before accepting them.

  4. 4

    Check completeness and timestamps

Review the beginning, middle, and end for omitted or repeated passages. Check speaker labels and timestamps manually. For subtitles, verify timing against the final video.

Upload limits vary by plan. When splitting a recording, preserve the original time offsets and check the joins for missing or duplicated speech.

Zoom

How to fix a Zoom cloud recording transcript

These steps apply to the audio transcript attached to a Zoom cloud recording. Live captions and AI Companion meeting summaries are separate outputs.

  1. 1

    Find your cloud recording

Sign in to the Zoom web portal. Open Recordings & Transcripts, then select Cloud recordings.

  2. 2

    Open the transcript

Choose the meeting and open its recording thumbnail. Locate the transcript panel beside the recording.

  3. 3

    Correct the wording

Replay the relevant passage. Hover over the incorrect phrase, select the pencil icon, and enter the words you hear.

  4. 4

    Save and check speakers

Select the check mark to save your correction. Review unknown or incorrect speaker names and confirm who said each passage.

Export for an external review

Download the cloud recording transcript as a VTT file when you need to edit it externally. Changing a downloaded copy does not automatically update the transcript displayed in Zoom.

If no transcript is available, check your access and whether cloud recording transcription was enabled.

Pay particular attention to decisions and action items. Correct words can still misrepresent a meeting when assigned to the wrong speaker.

Microsoft Teams

How to fix a Microsoft Teams transcript

For a recorded Teams meeting, you can edit the transcript through the recording stored in OneDrive or SharePoint, provided you have the required permissions.

  1. 1

    Locate the recording

One route is OneDrive → My files → Recordings. Find the recording that matches your transcript.

  2. 2

    Open it in your browser

Use the recording's menu to open it in the Microsoft 365 video player.

  3. 3

    Correct the transcript

Open Transcript. Hover over the relevant section, select Edit, and correct the wording while checking the recording.

  4. 4

    Save the correction

Select Done. Continue reviewing the recording, paying attention to names, numbers, and speaker changes.

Download the transcript

Open the past meeting chat, then select Recap → Transcript. Use the download menu to choose DOCX or VTT.

Meeting organizers and co-organizers can download by default. Other access depends on permissions and your organization's policies.

A saved transcript does not necessarily mean a recording is available. Without the original audio, you can improve spelling and formatting, but cannot verify every spoken word.

Mistral Voxtral

How to fix Mistral Voxtral transcription errors

Voxtral powers transcription in Mistral Studio and other applications. Editing and export options depend on the app and model used.

  1. 1

    Keep the recording and draft

Save the original audio and transcript. Open an editable copy in your application or a document editor.

  2. 2

    Correct words against the audio

Listen for misheard names, numbers, technical terms, and missing speech. Mark unresolved passages with timestamps.

  3. 3

    Improve a replacement draft

If regenerating with Voxtral Mini Transcribe V2, use vocabulary guidance for names and specialist terms where available. Compare the new output with the recording before accepting changes.

  4. 4

    Verify speakers and timing

Check each speaker change and any generated timestamps. Review overlapping speech carefully. Check subtitle timing against the final video before delivery.

Mistral notes that Voxtral Mini Transcribe V2 typically transcribes one speaker during overlapping speech. Review these passages for omitted words from other speakers.

TurboScribe

How to fix a TurboScribe transcript

Open your completed transcript in TurboScribe and compare it with the original recording before making corrections.

  1. 1

    Open the editor

Select the completed file from your dashboard. Choose Edit Transcript in the right-hand column.

  2. 2

    Review the wording

Listen to the recording and correct misheard words, names, and numbers. Check speaker changes and look for missing or repeated speech.

  3. 3

    Check the language settings

If the output is in the wrong language, check Audio Language before transcribing again. Transcribe to English translates non-English speech into English; leave it off when you need the original language.

  4. 4

    Export the corrected transcript

Choose DOCX or TXT for an editable document, or SRT or VTT when you need subtitles. Check the exported file before sharing it.

Check subtitle segmentation

After editing, review where subtitle segments begin and end. TurboScribe requires edited transcripts and transcripts with speaker labels to be resegmented before custom subtitle segmentation settings can be used.

If you try audio restoration or another transcription mode, compare the new result with the original recording before accepting changes.

Riverside

How to fix a Riverside transcript

Use Riverside's transcript correction controls when the recording is correct but the written transcript contains mistakes.

  1. 1

    Select the incorrect text

Open your recording in the editor. Select the word or phrase you want to correct.

  2. 2

    Enter the replacement

Choose Correct, type the wording you hear in the recording, and confirm the change.

  3. 3

    Review repeated mistakes

Use Correct all only when the same replacement is appropriate throughout the transcript. Matching is sensitive to capitalization and punctuation.

  4. 4

    Check the captions

Replay the passage and review any captions that use the corrected text.

Export the matching transcript

For an edited recording, open the transcript's three-dot menu. Eligible plans offer a TXT transcript download or an SRT subtitle download.

The edited transcript reflects cuts, rearrangements, and text corrections. Choose the version that matches the recording you intend to share.

If you shorten a podcast or video after proofreading, check the transcript and subtitle timing against the new edit.

Sonix

How to fix a Sonix transcript

Open your transcript in the Sonix editor and review the text alongside the recording.

  1. 1

    Listen and correct

Replay each passage and correct misheard words, names, numbers, and punctuation.

  2. 2

    Use confidence highlighting

Enable the heatmap with the thermometer icon. Lighter words indicate lower confidence and may deserve extra attention. They are not necessarily incorrect, and unflagged words still need checking.

  3. 3

    Check speaker assignments

Confirm who is speaking throughout the recording. If one person has multiple labels, review the cleanup options under File → Speakers Breakdown → Fix Speakers. Confirm identities before merging paragraphs.

  4. 4

    Review the complete transcript

Listen through the recording while following the corrected text. Check omissions and speaker changes as well as highlighted words.

Export your corrected transcript

Select Export, choose your format and any speaker or timestamp settings, then download. Available formats include DOCX, TXT, PDF, SRT, and VTT.

The heatmap helps prioritize review. It does not automatically correct mistakes or certify the transcript's accuracy.

ChatGPT

How to fix ChatGPT transcription errors

ChatGPT Record can transcribe meetings and voice notes and generate summaries. For proofreading, work from the full transcript and check it against the original recording.

  1. 1

    Keep the original audio

Retain a separate recording. ChatGPT Record deletes audio after transcription, so do not rely on it as your audio archive.

  2. 2

    Prepare an editable transcript

Save a copy of the full transcript in a document editor. Keep the original draft for comparison. A generated summary cannot replace the transcript.

  3. 3

    Listen and correct

Compare the transcript with your recording. Check names, numbers, missing words, and speaker labels. Mark unclear passages with timestamps instead of guessing.

  4. 4

    Review related notes

Check summaries and action items separately after correcting the transcript. Verify any quotations directly against the recording.

Without the original audio, you can edit the text but cannot fully verify what was spoken.

Fireflies.ai

How to fix a Fireflies.ai transcript

Fireflies lets you edit transcripts for meetings you own or hosted. Viewing a shared meeting does not automatically give you editing access.

  1. 1

    Open the meeting

Select Meetings and choose the conversation you want to review.

  2. 2

    Edit the transcript

Open the Transcript tab and select the pencil icon. Compare the text with the recording and correct the wording.

  3. 3

    Check speaker labels

When renaming a speaker, choose whether the change applies to the current instance or throughout the transcript. If a paragraph contains multiple speakers, split it and assign the correct names.

  4. 4

    Save your corrections

Select Save, then review the corrected passages against the recording.

Download the corrected transcript

Use the meeting's download control and select Transcript rather than Summary.

Available formats include DOCX, PDF, SRT, CSV, JSON, and Markdown. Downloads require a Pro plan or higher. Include speaker labels and timestamps when needed.

After correcting names or decisions, check the related summary and action items separately before sharing them.

Examples of corrections that protect meaning

These are illustrative examples, not results from testing a particular tool. Each correction assumes a reviewer has confirmed the wording and speaker in the recording.

AI draft Verified correction Why it matters
We can approve the change. We can't approve the change. A missing negative reverses the decision.
Send fifty samples. Send fifteen samples. A similar-sounding number changes the quantity.
Maya: I will send the report. Leo: I will send the report. The words are right, but the assigned owner is wrong.

Correct punctuation after resolving the words and speakers. Polishing an incorrect sentence makes the error easier to overlook.

When to use human transcription proofreading

Manual correction works for short, clear recordings. Use a dedicated reviewer for long files, overlapping speakers, heavy technical terms, or anything that will be quoted or published.

GoTranscript accepts your AI draft with the original audio or video. Editors check wording, speaker labels, formatting, and timestamps against the recording.

Send the full transcript, not just a summary. Note whether it should match the full recording or an edited cut, and confirm any specialist output requirements when ordering.

Frequently asked questions

An AI tool can suggest spelling, punctuation, and formatting changes. If it only receives text, however, it cannot verify what was spoken in the recording. Even when a tool can process audio, check the proposed changes before accepting them. Treat automated corrections as suggestions until they have been verified.

You can improve formatting and resolve some spellings using reliable references. You cannot reliably restore missing speech, identify every misheard word, or confirm all speaker assignments. Describe the result as a text edit if it has not been checked against the recording.

Regenerating can be useful when the wrong language or task was selected. For isolated errors, editing the existing draft is usually more direct. If much of the recording is missing or badly transcribed, compare a new draft with the original before deciding which version to review.

It depends on the product, language, and supported import workflow. Exporting a file does not imply that the same app accepts a corrected replacement. If returning the transcript to the original app matters, check its import and alignment requirements before arranging an external review.

Not necessarily. Some editors share corrected wording with captions, but timing, line breaks, and readability still need review. Check the final subtitle file against the final video, especially after cuts or rearrangements.

Replay the passage with surrounding context and check any available separate speaker track. If the wording remains uncertain, use a consistent unclear or inaudible marker with a timestamp. Do not invent a word to remove the gap.

Some speech recognition models can generate text that is not present in the recording. This is sometimes called a transcription hallucination. Replay the passage and surrounding audio before making corrections. Remove unsupported text only after checking the recording, and mark genuinely unclear speech instead of guessing.

Listen around each speaker change and assign the correct label to that passage. Split paragraphs that contain more than one speaker. Before renaming a speaker throughout the transcript, check that every affected passage belongs to the same person. Use neutral labels such as Speaker 1 when identity is uncertain.

Choose the transcript style before editing. Full verbatim generally preserves fillers, false starts, and repetitions. Clean verbatim removes selected speech clutter while preserving meaning. Follow the requirements of your project, and keep words that express uncertainty, emphasis, or a change of mind.
