Speaker 1: Alrighty, hi everybody, I am David with Just High Level and today we're going to be taking a look at how to create documents and contracts within the system of GoHighLevel. I was looking for ways to do this and was looking for videos to do it and couldn't find anything that was to my liking to make it easy, so I decided to make a video on my own about this. Before we get started, I am also the owner of a business called HomeMax and that is the system we're going to be taking a look at today and underneath HomeMax we have a roofing company that we do work with named US Shingle. So we're going to be using US Shingle's account to set up an automation for contracts, but we're going to do two different ways. One of them is we're just going to make a PDF and import it into GoHighLevel and then we're going to actually build one from scratch. So let's take a look at what we're working with here right now. So like I said, I am the owner of a business called HomeMax and our main product is Insulation Radiant Barrier and Attic Duct Sealing, or URBADS for short. So if you hear me saying URBADS, that's what that is, quick explanation of the product. Here in Florida it gets super hot, heat enters in through the roof. Our product allows that heat to be reflected, so you save a lot of money on your energy bill. Anyways, let's go into here. So to start, we're going to want to go into our sub-account, so we're in that US Shingle sub-account. We're going to go into Payments and then up here you'll see Documents and Contracts and we're just going to go onto that Templates. Here is the contract that we're going to want into GoHighLevel. So this is already pre-built, it was built using Microsoft Word. So we're going to import this in as a PDF into GoHighLevel. So let's go ahead and open that, we'll hit Upload. So this is going to be best utilized if you can fill out all this information on the outside of GoHighLevel. So once it is entered into the HighLevel system, it doesn't necessarily make anything clickable in here. What we are able to do though is make this a template. So say the only thing you needed was a signature on it, so you need to send this away to the customer. We're going to go ahead and put a signature box right there, we're going to hit Save and then we're going to go ahead and use that as a template. So now we can go down here, I'm actually going to move that over just a little bit and I'm going to add one more signature to kind of demonstrate what you can do with this. So this one, we're going to add a recipient to it. So I'm going to use my business partner, Mr. Dunco. But this one I want to be signed by me, David. So now when we preview this, you can see there are signature boxes and we have to move those up a little bit. Now once this gets sent out, only I can sign my box, only Mr. Dunco can sign his. And then once they are both signed, it gets sent to everybody involved, so everybody has a signed copy of everything that they need. So that is a super easy way if you have a contract that just needs to be signed and that's all you're needing to do. So that is a super easy way if you have a pre-filled out contract that just needs signatures and you need to either email them, you can also get a link. So you can share this via a link, you can generate links to share this document. So now Dwayne has his own link, I have my own link and we can send that out individually, whether it be a text message, an email, so on and so forth. So now if we want to utilize all the, and I'm going to go ahead and delete this one. So that is the easy way if you want to use a PDF. If we want to utilize everything that's in there to be able to automate as much as we can through this system, here's what we're going to do. We're going to have to start from scratch. So first thing I'm going to do is we're just going to add a logo up here, let's go into here, we have US symbol, boom, logo, looks official and we can add other stuff in there as well. All right, so we went ahead and put in a logo. So now what we're going to have to do is try to recreate this. So we can see in our elements, we have text boxes, images, we can put videos, we're going to go ahead and add a table here right now. I'm just going to merge cells. So once you get used to playing around with this, it's actually super easy to use. And as you can see, add or above, below, add a column before, add after. You can toggle header row, which just turns that into a folder box and it folds the text in as well. So I'll show you how to utilize that here in a second, but let's go ahead and add rows in here. So we're going to add one, two, three, four, five, six rows. So we're going to start with this top one and we need one, two, three, four, five, six different columns. So one, two, three, four, five, six, and we'll start with ClientName1. So let's go ahead, we're just going to do ClientName1, ClientName2, ClientName3, ClientName4, ClientName5, and now we can toggle on these cells to make these not bold. And let's go ahead, we're just going to copy and paste this one directly. I'm going to go ahead and merge those. We'll make that centered. I might speed this part up in the final, maybe not. What I really want to do here is I want to get all the stuff that we can add in automatically and then just show you that because the rest of it is just kind of copy and pasting. I'm going to go ahead and toggle that header cell so that it's nice and bold. Same thing with this one. Same thing with these. There we go. Now it looks nice and official. So for this one, we're going to go ahead and do another table. I'm going to delete this one. Delete the row. And we're just going to copy and paste that directly into there. So now what we're going to do with this, so you notice there was a checkbox right here. What we're actually going to do, let's just put a row in the bottom of that. And we're going to create something for that. And after that, we'll go ahead and put the text below there. So let's copy and paste this. And you can see that it didn't quite do it the right way. But anyways, I'm going to leave that like that for now. You're getting the idea of how we're trying to build this out though. So I'm going to put in a makeshift table right here. Now this is going to be one of the few things we can't automate is that payment information, obviously. So this is going to be strictly a contract. So let's go ahead and remove this one. Go ahead and copy this one. So we're going to go client name and authorize contract agent. So what that's going to be is, for purposes on this one, that is going to be the sales rep. So that is actually going to be me being required to sign this. And make all that small again. Toggle that as a header cell. Something like this one. And we're going to make this the sales rep. Toggle that as a header cell. Something like this one. And we're going to make this not a header rep. And then I'm going to... Awesome, we got that. We'll go ahead and put in a page break here. So we're on to a new page. And all we're going to do is make another text box for the wordy part of it. There we go. So that is the wordy part. I would take the time to go in here and get rid of all the spaces in there. Alright, last thing we're going to do is we're just going to copy this one. So we're going to go ahead and copy this one. So we're going to go ahead and copy this one. Alright, last thing we're going to do is we're just going to copy this box. We're going to copy that and then we're going to move it down. Ah. Did it. So now we're going to create a little bit of space in here. Because I'm going to put a signature box in here. So let's go ahead and put a signature box there. Move it over a little bit. And technically the way the signature works, it's always going to put the person's name above it. So we technically don't even need this row, but we're going to keep it there for our purposes anyways. Next thing we're going to do, we're going to go ahead and create our custom values for this. So that this updates based on the client that we want it to update for. So for instance, we're going to go up to here to our custom values and it's going to be our contact. And we're going to go ahead and put their full name there. And for the date, we're going to go, it's under right now. We're just going to do month, day, year. For the address, go into the account. And we'll do address line one. I'm going to make sure that's contact. And then same thing for these. These are going to be the contacts address. So city, real estate, we have a state. Contact state. Contact zip. We're going to do the contact email. And then last one is we're going to do the contact phone. Awesome. So these are going to update automatically. If there's a phone too, we could toggle on it, but we were just kind of trying to recreate what we had here. Now for that checkbox, I'm going to have to create my own custom value. So next thing we're going to do is we're going to create a custom value for US Shingle based on the contract that we have here. So we're going to have two plans that we want to add to it. It's the Energy Saver and the Energy Saver Plus. So we're going to go into the settings and we're going to go into custom field. And we're going to go ahead and add a new field. So we're going to make it a checkbox. Preview. Cool. Next. Field name. We're just going to call it Herbed's Plan. And it's going to be attached to the contact. Group contact. I don't know if that's the right word. Group contact. And our first option is going to be that Energy Saver. And then the next one is going to be Energy... Energy Saver Plus. Additional preferences. It's going to be contact Herbed's Plan. So when we add this, it's going to be underneath the contact of those custom values that we were looking at. So inside of there. Another thing we got to do. So we're going to go to our contact. We're going to merge this cell. And we're just going to say plan selected. There. I'm going to make this nice and big. Let's go header. Plan selected. Now we're going to go into that custom values. Go into the contact. We're going to go to custom fields. We have it underneath contact. And we're going to need to save it first so it can refresh. Let's go back. Last thing we're going to do here is we're going to add a little text box here. And we're going to use the PowerChat GPT. So I had it right up. I said, can you write out an example of the wording needed for a contract to accept a digital signature? I think because I've seen everybody else do this. If you're going to write up a contract, please consult a lawyer. Do not use chat GPT to write contracts. So I copied that and pasted it on here. So I get my electronic document wording. And we're just going to go ahead and throw that there. And we're going to leave that at the bottom. That's just an example of kind of an added section. If you're going to do electronic agreements, we want to have that somewhere in the document. I don't know the exact spot of where the document needs to go, but that's where we're going to put it for now. So when I'm going to go in here, so make sure we're in templates still. We're going to go back into that new template. And it should upload our new custom value within the document now. So plan selected. Let's put a space there. Back into our custom values. Contact. Custom fields. Contact again. Urbads plan. And we're going to go ahead and make this a different color. Let's go ahead and let's go red for now. There we go. And then finally, we're going to put in contact. We'll do full name. And then this is going to be. And we're going to do the same thing with this one. We're going to put the rep underneath it. Custom fields. Contact. Yeah. And then we'll go ahead and put signature boxes in these ones as well. Signature. Signature. There we go there. We've got there. And let's go ahead and update the custom values from time. Actually, we're just going to. We'll go ahead and update those custom values for the date and time. Just the date. And we can just utilize that one again. Make sure it matches at the bottom. All right. So we're going to go ahead and save that. So now we have all of our custom values entered into it. And now what we're going to do is we're actually going to use the template. All right. So remember that we created our new custom field for which plan that we're going to select. So we actually have to go into the contact now to update that. So we can see that the rep is myself, David. And now we're just going to select which plan I wanted. And we're going to go ahead and save. So when you created that custom field and you attached it to contacts. Every single one of your contacts is going to have that subheading in there for you to click which one. If you have a product like that. So now that that's in there. Awesome. Here's where we can add our contact into it. So we're going to go back to Mr. Dunco here. We're going to click on him. So he is the primary client here. The other thing that we can do is we can change these signature boxes. So I'm going to change that one to me. And this one to me as well. So I am the sales rep. So now that he is the primary client, let's go ahead and hit preview on this. So as you can see, it's filled in all the information to where there was a custom value. It put in the Energy Saver Plus for us. It has these signature boxes that are ready to be signed. So from there, we would go ahead and send that off. And then once both people on the contract sign off on it, it'll get everybody involved. We'll get some copies and then we'll be ready to go. The other thing that GoHighLevel is working on is a documents tab within the contacts. So you can go into contacts and they are currently working on it. So it's coming soon.
