Speaker 1: Hi everyone, and welcome to the ProsperaWare blog. Today, we'll talk about how firms can use Microsoft Teams to efficiently and securely collaborate on matters and other project-based work. Law firms are increasingly seeking more intuitive and efficient ways of collaborating on matters and projects on demand. Such collaboration helps in lowering costs and providing better client service. Microsoft Teams offers advanced collaboration features and applications that are user-friendly, easy to set up, and allow firms to instantly start working on matters together. That's why more and more law firms are deploying and using Teams to collaborate on applicable matters. For simple matters and projects like the one shown on the screen, firms can create a team with only a few channels. They can then quickly create tabs to allow users to create, store, and share information to better manage the matter or project. Firms can achieve close collaboration when users utilize the Posts tab, where they can create, share, and discuss different matter-related information, post links, send meeting requests, and more. Users can also create posts and leave comments on files or information. All conversations are automatically posted in the Channel tab, so users can easily find them in a centralized location. Additionally, users can utilize the File tab to store and find applicable documents for each channel. Teams also provides the ability to co-author documents with other stakeholders, either through tracking changes and leaving comments, or even in real-time. Firms can go one step further in improving collaboration by using Microsoft native apps in Teams. They can use Microsoft Planner to manage the matter or project, where tasks can be categorized, assigned, prioritized, linked to documents, and more. They can use Microsoft Lists to create checklists that allow for easy management of matters or projects, and Microsoft Wiki to create, collaborate, and share information. Not every matter or project may need such close collaboration, but when it is required, Teams provides a flexible, intuitive, and user-friendly platform. But it also needs to be well-managed and governed to avoid data chaos, and that's where ProsperaWare helps. Here at ProsperaWare, we've developed a unique software solution, CAM, that allows our clients, such as firms in legal, finance, healthcare, banking, and more, to better manage their collaboration systems by making it easier to provision, classify, protect, move, and minimize data, ultimately mitigating risks related to privacy and cybersecurity. CAM integrates with various collaboration systems, including Office 365, such as Microsoft Teams, SharePoint Online, OneDrive, OneNote, Planner, and other systems, such as FileShares, iManage, NetDocuments, HiQ, and more to come. CAM allows you to automatically provision teams, channels, workspaces, folders, and documents across these supported systems. You can then add rich custom metadata to drive classification so your end users can quickly locate content and your risk management team can apply need-to-know or zero-trust policies to protect data. In this way, your organization can securely grant access, manage, and remove access automatically to internal and external users, mitigating the risk of inappropriate access. From there, your firm can move content from Teams to other systems, such as your DMS, and leverage metadata to understand when to minimize data. CAM is the last-mile solution that tackles your privacy and cybersecurity challenges so you can safely collaborate without chaos.
