Track Your Progress Reports Real-Time with Dashpivot

Speaker 1: Hey everyone, I'm Steph from Sitemate. Progress reporting can be time-consuming, and if not well documented or communicated, it can lead to a lack of visibility and control over project outcomes. Dash Pivot addresses this by streamlining and improving daily reporting, enabling real-time tracking of project progress. In Dash Pivot, you can create a progress report template entirely from scratch, or choose from our public template library, which offers many ready-to-use templates. As we're discussing progress reports today, I will run a search at the top here to see which templates we have available. You can preview these before adding them into your workspace, and remember everything that you see here is fully customizable once it's been added. You can easily create a report from within your team folders. Our standard monthly progress report template includes fields such as default tables for the various sections within the report, the ability to add in progress photos or videos, drop-down lists, and any formulas for easy calculation of your KPIs. Once saved, the report will be shown in a timeline view, sorted by the date that was input on the form, just like this. The reports created are automatically compiled into a register. Here, the information for all the progress report forms can be viewed in a table format. You can also use the filters at the top of the columns to find relevant forms and export the data as a PDF or CSV format. To ensure that important and unique information is captured and not duplicated, fields can be excluded from form cloning and also set to be required in the template editor. These options can be found in the field settings in the top left-hand corner of each field. Conditional logic can also be applied to Yes, No, NA questions and lists to display more fields in the report, depending on the answer that is selected. In this example, if additional concerns are raised and the answer is set to Yes, then an additional text field will appear. Additionally, formulas can be implemented into tables to automate calculations, display values, and more. In this template, formulas have been set up to track KPIs. The list module could be used as a database with various properties such as expiration dates, where you can choose to be notified when a set date is approaching. These lists can also be linked and used as drop-down lists or multiple choice lists within your templates. In this example, we have a list called Area, and this list is directly linked to the monthly progress report here. The information captured can also be analysed further using analytics available at the team folder and home folder level. In this case, we can summarise the values entered onto the report into bar charts. Photos are essential for clear visual evidence of the current status of work, making it easy to document and verify progress. These can be found in the Photos tab within your team folders. Photo tags can be created and applied for easy filtering when looking for specific images. GPS locations can also be captured on the image when the photos are taken through the Dash Pivot mobile app. If you need external parties to sign off on your document or simply view the progress, they can be added to your Dash Pivot workspace underneath the Users section in the Visitors tab. With this, you can control their permission and access, similar to how you could with your internal team. Reports can be created and submitted using our Dash Pivot mobile app. The reports are organised in a timeline view, just like on the web access. You can continue working on existing reports, or you can create a new one using the plus button. Photos can be taken directly on the app, or you can choose to upload images from your device gallery. Once taken or uploaded, they can be marked up to highlight specific details. And if you've created photo tags, these can be applied during this step for easy searching of the photo later on. Photo stamps can also be included to display additional information on any image that you upload using the Dash Pivot app. You can find the options on what and where to display this information in the Settings section on your Dash Pivot app. Once completed, if you need to share a copy of this report with others straight away, you don't need a computer to export it. Instead, you can use the Send As PDF feature we have available and email a recipient directly through the app. The mobile and tablet app works offline and is available on both iOS and Android devices, making this process even more accessible for all personnel involved. Dash Pivot can be used for many other use cases, and data can be synced to external tools such as SharePoint, Excel, Power BI, or using our integration product Flowsite.
