Speaker 1: Having a project management tool in your business can be a lifesaver and it's gonna save you so much time and headache. Have you ever had a time in your business where you have multiple tasks going on maybe you're working with multiple clients or have multiple projects and deadlines happening and what ends up happening is you're writing all these things down on multiple pieces of paper and then you have paper everywhere on your desk and you're just trying to keep everything straight. This can be so so frustrating and it ends up with you wasting so many hours of your day. Having a project management tool in place in your business makes it so that you have a space to keep all of these deadlines all of these tasks in place all of your ideas so that when you sit down at your desk you know exactly what you need to be working on and you know exactly when things are due. But with so many different options out there how do you know which project management tool is going to be best for you? Well let me save you some time because I have wasted so many hours setting up my business and all of these different project management tools only to figure out that one's too complicated or one doesn't have a thing that I need a tool that I need within it. So in today's video I'm going to be sharing with you three of my favorite project management tools so that you can skip all that headache and know exactly which one to start working on in your business. Now the first project management tool we're going to talk about today is Trello. And Trello is a very popular project management tool it's been around for a very long time. Now the biggest thing to know about Trello is that it's based on a board view or a Kaban view if that term is familiar to you. Now basically what that means is you're creating different sections of cards that you can then move through the different statuses. So you could have an open task, a completed task, or an in progress task. And as you kind of complete each thing or tasks are at different points within a project you can move them throughout the phases through this Kaban view. Let's jump over into my computer so I can walk you through a really quick rundown of what Trello looks like. Okay so this is what Trello looks like. I'm just in a test account right now but this is gonna give you a good idea of how you can set this up. So if this was for your content for example you could have different sections set up. So I have one for research, for writing, for graphics, for schedule, for analytics, and for complete. So then what you would do is you would add a card in here and I would just say something like video repurposing. For example let's say I'm gonna be talking about that in this piece of content. So once I open this card up it's going to give me a lot more options. So I could write my caption in here, I could give my hashtags in here, and hit save. I could also do different things like add a link if I wanted to. So your full caption could be in here. The other things that you could do is you can attach different media. So from your computer, from Google Drive, from Dropbox, wherever you have your content pieces stored. So you could add that in there. You can also add a checklist in here if you wanted to create processes for yourself inside of your actual content creation. And then there are labels as well. So if you want to create a label for, you know, you could label this YouTube, you could label this Instagram, you could label this Pinterest, you know, and so on and so forth so that you kind of have an idea of what's happening. So once you have your content piece created or your card created, now you can kind of take it through the different sections. So this is the Kaban style that I was talking about. So you have your card and now it's in the writing phase, now it's in the graphics phase, the schedule phase, and so on. So this is really great so that you know where you're at with your different pieces of content. So if I had, you know, five different pieces of content in the scheduling section, then I would know that those pieces are ready to go, but they just need to be scheduled onto the social media platforms. Same thing here. If it's in the analytics section, then I know that I need to check the analytics on those pieces of content. Or if you have an assistant, they could go in and do that as well. So you could come in here and you could add members to the card. I just have myself on here, but you could add different team members if you wanted to. So that is in a really short sum up of how Trello works in the Kaban style. Okay, so some other things I really love about Trello. One is it's free, up to 10 people. So if you are a small team or you know you're on a bit of a budget, Trello is really great because it doesn't come with that large price tag. Another thing is that it does come with desktop and mobile options so that you know if you're out and about and you have an idea, you can quickly use your phone to keep track of all of those things. So again, everything is in one space and it's going to save you so much brain power. Another thing to keep in mind with Trello is that they don't have a lot of internal options that some of the other tools we're going to be talking about later do. They use things called power-ups on boards to kind of integrate different things together. So to me, this is a little bit of a downfall compared to some of the other options that we're going to talk about later in this video. You know, I would view Trello as a very, very simple list or Kaban style of tasks or collaboration tool. I wouldn't necessarily think of it as a really, really intuitive project management system. So keep that in mind when you're thinking of picking one. But the pros of Trello again are that it's very simple, it's free, and again you're gonna have that desktop and mobile option. Another thing that I'm not a huge fan of about Trello is that you know it is that Kaban view. That is what it's known for and so there's not a lot of other views available. So if your mind doesn't work like that, if your mind doesn't like to see cards move from status to status, it can be a little bit confusing. So you can do additional power-ups like I mentioned before that you know bring in a calendar and things like that. But if you don't think in that kind of way, there are other options out there that might be a better fit for you. So that brings me to my second favorite project management tool and another very, very popular one which is ClickUp. So ClickUp to me is one of the biggest project management tools in terms of features. There are so many features that ClickUp has which you know can also make it a little bit confusing and a little bit overwhelming when you first go into it. Personally I actually don't use ClickUp. It's one of those tools that I have wanted to move over to for a very long time and I've even set up my business halfway in ClickUp. But then I always end up feeling a little bit overwhelmed or that things are taking me a little bit too long inside of ClickUp when there are simpler alternatives. So that is something to keep in mind. I would definitely make sure to check out all the different features that ClickUp has because like I said there are so many different features within ClickUp. One of the things I really do love about ClickUp and the reason that I have been wanting to move over to it is that there are things like you can have live documents inside of ClickUp or you can edit. You can also link your Google Drive or your Dropbox directly within ClickUp. There is a lot of team aspects like internal chats and you can also do kind of videos as well that you can attach to different tasks like screen record your computer things like that and then attach that into a card. So there are a lot of different ways that you could use ClickUp with a team or even by yourself that makes it a one-stop solution for literally everything inside of your business. Especially with that document feature you can stop switching from Google Docs back to your project management tool and again keep everything inside of one place. So that is a really really huge bonus that ClickUp has is just the amount that you can do with it. Another thing with ClickUp is that they do have a free version as well so there is no need to have to pay a really expensive price tag. It also is very affordable if you do decide to upgrade into more of a paid plan. It is one of the more affordable options on their paid programs. Let's jump over into ClickUp really quickly on my computer so I can just show you a quick breakdown of what that looks like. So this is what ClickUp looks like. I'm just inside of my content creation board here on ClickUp and like I mentioned in the video before is that I'm currently not using ClickUp. I do love this tool and I am partly set up as you can see inside of ClickUp for my business but I just found it a little bit overwhelming and so I'm going to go through some of the features to show you everything that you can do inside of this tool because there are so many. So as you can see on the top first of all there are different views which is one thing I love about ClickUp. So you can click the calendar view and you can see I think I might have to scroll back a bit here to see any content but you can see that the content or the cards are on the calendar here for when they need to go out. So I love that there's a calendar view if your brain thinks that way and what I also really really love about ClickUp and one of the main reasons I do want to switch over eventually at some point to ClickUp is that when you come over to the right hand side here there's this little tasks area and what it's going to do is it's going to show you all the unscheduled tasks inside of your board and what you can do is then you can just drag and drop them onto the calendar. So if this was all pieces of content instead of having to think about what days they need to go out you can literally just drag and drop them onto the dates. So that is one feature that I absolutely love inside of ClickUp and I also love that it syncs with your Google Calendar as well so that if you click this on you're gonna see all of the different tasks that I have from my Google Calendar also on here so that if you're booking anything you're not overbooking yourself. So you can see here now it's attached to my actual calendar to here. So if I come back to list view here you can also view things as a list and then you can also view things like like in Trello so that Caban style board. So I'm gonna keep on this board for now just because it's the easiest to kind of explain things. So I have things set up there's templates here, references so any kind of information I need to know about my business, ideas, brain dump to write in progress, to record, to be approved, to edit, to publish, scheduled, complete. So you can see I have a lot of stuff happening a lot of stuff happening. And the reason why there's so many different things and so many duplicates is because of the way ClickUp works. So ClickUp works in a hierarchy and so you can see here that I have content creation folder clicked and that's encompassing all three of these. So it's encompassing my YouTube videos, social media content, and my podcast. And that's why you're gonna see duplicates happening here which is a little bit confusing and this is why I find creating tasks and things inside of ClickUp a little bit hard to get used to. So what I'm gonna do is I'm gonna click on just my YouTube videos to show you how this works. So just the YouTube videos is going to just have that content. So now you're gonna see there's templates, ideas, to write, to record, to edit, to publish. Okay so it makes more sense right? Then if I come into my social media content, again go back to board view here, you're gonna see that there's templates, ideas, and progress to be approved, approved, and scheduled. Right so those are more individual but the mistake that a lot of times people make is they hit this big overarching folder and it gets really really confusing. So one thing to keep in mind if you do want to start using ClickUp. But that let's come back over into here so you can see some other features. So to add a new task again you just click on here, put a new task in there. Once I open this up there are a lot of different features within ClickUp here. So you can add different to do's, different sub tasks, checklists, attachments, write your actual caption in there. You can add tags to it. So I have a bunch of tags set up in here. You can add different people to it as well if you're doing this with a team. You can add a due date. You can start a Zoom meeting straight from the actual card itself. You can attach different files down here. So there is lots to do inside of ClickUp. Another amazing thing that you can do. So I have calendar list and board view set up on ClickUp here. But if I go into view you can add all these different things into your ClickUp folder. So that's when I was talking about that document or different Google calendars, different forms, different mind maps. So really there are so many different things you can do inside of ClickUp depending on how your brain works. And that is a good and a bad thing. So that's just a really quick overview of how ClickUp works and so you can decide for yourself if it's the right tool for you. Okay so now that you've seen the overview of ClickUp, I've told you some of the features. My thoughts on ClickUp is that it's an amazing, amazing tool if you're already used to a project management system. I wouldn't necessarily recommend ClickUp if you've never used a project management system and this is the first time you're going to be implementing it in your business. Just because it is a little bit more complicated than some other options and it is going to take you a little bit longer to actually implement into your business. And I'm all about simple, effective, and sustainable systems that is going to make your life easier. Especially when it comes to video and content creation because we want to make sure that the process is super simple for you to implement. And so that's why we're going to talk about the next project management tool which is my personal favorite and what I recommend people when they're first getting started with project management. And that is Asana. So if you have been around my YouTube channel for a while now you'll see that I have quite a few tutorials on Asana or building out content calendars on Asana. And that is because it's just so simple to use. And yes it doesn't have all the bells and whistles that something like ClickUp does but because it doesn't have those things it also makes it super, super simple. And that's what we want. Especially if this is the first time you're implementing project management. So again we're gonna jump over into my computer and I'm gonna do a quick walkthrough of Asana. Okay so we've gotten to Asana which like I said is my favorite project management tool just because of how simple it is. So I'm just in a template board right now as you can see. So I have some different statuses set up. So inside of my YouTube video template. So to write, to record, to edit, and ready to distribute. And then I have a card set up that is a template. So this is something you can do for yourself as well. You can create a template for yourself that you can then just duplicate that has you know all of the different things that you need inside of it. But if you're just creating a new task you would just again go new task, test, and then you could bring it across to all of the different statuses. Again if you click inside of here it has very similar tools to something like ClickUp or to Trello. So you can assign it to somebody. You can set a due date. You can decide what project it's going to go on. You can actually change which status it's going to be on here. Add to your text. You can also add links. You can attach things here. All of the same similar things as the other two as well. The other thing I really like about Asana is that it has the different views. And as you can tell I'm very big on the different views because sometimes I look like to look at the board view like this and sometimes I like to look at the calendar view and then have different calendars. The other thing it is still has the list view as well and it does have messages as well. So if you're wanting to send messages with your team back and forth on a project you can do that here as well. So a lot of different features to Asana as well but I just really like how simple it is and it doesn't over complicate the creation or the organization process at all. The other thing I really love about Asana is the inbox and my task feature and I've talked about this on other tutorials on my channel about Asana as well. But my tasks if you click on it what it is is it's a very big long list of everything from every single board that needs to get done that's been assigned to you. So this is a great way to come in the morning click off what needs to get done and as you can see I'm a little backed up here but it's a really great way to keep everything organized. The other nice thing is inbox. So as you can see I have an inbox here that's telling me that these tasks were completed by other people on my team that I need to come in here and they need my attention. So again just a really great project management tool to kind of keep everything organized. Some of the other templates I have going on here so social media management again different statuses set up for them and you can also add to different tags as well. So you can come in here and say add tags and there's a bunch of different tags I have set up for that as well. So this is just a really quick overview of Asana. So as you can see Asana is really simple. I really love that there are multiple views that you can use like list view, calendar view, board view. There's no matter how your brain works there's a way to make Asana work for you and I also again love that it has a mobile app for you to keep track of things with. It's just overall a really really simple and easy tool. One thing to keep in mind though with Asana is that if you do have to move into a paid option with Asana it does get a little bit more expensive. Their paid plans are a little bit more expensive than something like ClickUp for example but with that said their free option gives you everything that you would need for a very long time. You wouldn't need to get the paid option of Asana until you're you know quite a quite a ways into your business and at that point your systems might look different and you could move over to a different tool like ClickUp. So really when it comes to project management tools it's not that one is necessarily better than the other. It really comes down to the way you think and the way that your brain processes tasks and information. If you really like to see things in multiple ways and you like something that's really simple you might like something like Asana. If you're looking for a little bit more of bells and whistles and you want something that integrates with other programs really easily and has that document feature then you might want to go with something like ClickUp. Whereas if you really just want like bare bones you want to see that board view that caban style then Trello might be something for you. So I really would recommend kind of trying all three because there are free plans for all three of them. I would sign up kind of start playing around don't set up your whole business in all three okay like I did but you know just sign up check them out get comfortable with how they are and then decide to pick one of them and get your business set up. Because really when it comes to project management tools a tool is only as good as the user that's using it. So once you pick one I want you to stay consistent with it and continue to put everything inside your business inside that tool. So that you have one place to go for all of your tasks all of your deadlines and you can collaborate with any team members that you bring on to your team in the future.
